Departments in UICapture can be used to provide local admins and support staff in colleges or academic departments access to materials produced within that college or department. The other use of a UICapture department is to provide a content center for audio and video materials shared within a department, academic or otherwise. Once a department has been set up, we can establish a homepage for that department which used to highlight content that will respect video or folder entitlements.

Folders can be created under departments and Department Admins will have access to those folders and the sessions shared in those folders. This structure is produced in ICON and mirrored in UICapture, but departments in UICapture can be standalone as well.;

Once you've submitted the form, a few steps will need to be completed:

  1. IT director (or similar) approval in Workflow.
  2. Completion of requisite training courses:
    • HIPAA
    • FERPA
    • UICapture Department Admin ICON course
  3. Apply for an AdminID to hold the elevated access if you don't already have an AdminID. We cannot give a standard HawkID elevated access in UICapture.

Administrative rights are intended for instructional or support staff who work with instructors using UICapture and the individuals that manage or produce content for departments to use internally or share for external individuals to view. Based on guidance from University General Counsel, this level of access is not available for those with a position of authority over instructors. Deans, associate deans, departmental executive officers, or others with authority over instructors should seek approval from all instructors in their area to be granted elevated access in UICapture.

After defining Departmental Admins in UICapture, individuals can access and manage all folders and content within a given department.

Things available to Department Admins:

  • View, manage, create, and delete folders under the department
  • View, manage, create, and delete audio/video/playlists under the department
  • Manage entitlements for folders/playlists/sessions
  • Access to viewer statistics for folders/playlists/sessions
  • Ability to restore content from the recycle bin that was deleted from the department

Things that are restricted:

  • Groups
  • Users
  • User configurations (notifications, Zoom meeting mapping)
  • Personal Folders
  • Remote Recorders
