Starting on Monday, July 1, 2024, all content produced natively in Panopto (desktop recorder, remote recorder, or uploaded videos) will be archived if they have not received a view in 3 years (1095 consecutive days). After that, they will be archived but available for viewing for 2 years (730 days) then deleted. 

Zoom Cloud recordings will be archived after 18 months (548 consecutive days) of inactivity and will be deleted after an additional 2 years (730 days) of time in the archive. 

This process will check all content and folders nightly to ensure that the assets that are no longer being used are cleaned up appropriately. Should a video receive a view in that time, the 3 year or 18 month count resets.

This change went in effect on July 1, 2020. The clean-up process runs nightly between 8 p.m. and 4 a.m.

Content retention was one of the many features we gained by moving from our old On-Premise installation of UICapture to the Hosted environment. At the time of the change, there were 115,000 sessions in UICapture, and of those, roughly 20,000 fell outside of the 4-year cleanup cycle. Of the 20,000 to be removed about 25% had never been viewed. This unused content clutters the environment and contributes to the ever-growing footprint of the platform.

There are a few options for this. If your department has resources for archiving media off-platform, the podcast feed of the session can be downloaded in the settings in UICapture. This flat video will no longer feature slide notes or the table of contents but the primary and secondary video (if present) will be included.

Each college also has a means of archiving in UICapture. If you wish to retain the session as it was built or recorded, contact the ITS Help Desk or your local UICapture support to find out more about those options.

This change was approved by academic and administrative bodies on campus. This change also aligns the service with other platforms available on campus and to the guidelines set up when the service was established centrally in 2009.

If you notice that something has been removed from one of your folders, please contact the ITS Help Desk or your collegiate UICapture admin as soon as possible. Content will be archived for  2 years for Zoom Cloud recordings and content made in Panopto. Please review your course materials before publishing your course each semester.
