Starting on [insert date here], a content lifecycle policy will be implemented that will manage the retention and removal of books on the Pressbooks platform. Under this policy, any inactive book that has not been edited for a period of 4 years will trigger an outreach to the book Administrator(s). The Administrator(s) will have the opportunity to review and update the content to ensure that it remains current and active for our users. If no action is taken, the book will be removed from the Pressbooks platform.

When was this retention policy implemented?

What is an inactive book?

An inactive book is a Pressbook that is no longer accessible to the public or private users. 

What is an active book?

An active book meets the following criteria:

  1. The Pressbook has been viewed within the last 24 months OR edited within the last 48 months. 
  2. There is at least one administrator assigned to the Pressbooks. 
  3. There is at least one subscriber with permission to view a private Pressbook or the Pressbook is set to public. 
  4. The Pressbook contains ore than only the default content. 

I have a Pressbook I need to keep, but it won't be actively viewed. What can I do?

There are a few options for this: 

  1. Edit the book at least once every 48 months. 
  2. Ensure that there is one administrator assigned to the Pressbook.
  3. Add a subscriber to the private Pressbook or make your Pressbook public.

What do I do if I need to keep something that was deleted?

If you notice a Pressbook has been removed without your knowledge, as an administrator in the book, please contact the ITS Help Desk as soon as possible. If you are an author, editor, or subscriber in a Presssbook, please first reach out to the Pressbook's administrator(s). They may be able to provide you with the specific information need.
